This Privacy Policy describes how PrimeReports.ai ("PrimeReports", "we", "us", or "our") collects, uses, and protects information when you use our home inspection platform.
1. Information We Collect
We collect the following categories of information:
- Account information: name, email address, phone number, mailing address, TREC license number (for inspectors), company name.
- Payment information: billing details collected and stored by Stripe. PrimeReports does not store full credit card numbers on our servers.
- Inspection content: photos, videos, GPS coordinates, written findings, and PDF reports created during an inspection.
- Job details: property addresses, client names, agent contact information, and inspection notes.
- Usage data: log files, device type, browser, IP address, and actions taken within the platform.
2. How We Use Information
We use the information we collect to:
- Provide and operate the inspection and reporting platform;
- Generate AI-assisted findings and TREC REI 7-6 compliant reports;
- Process payments through Stripe;
- Send transactional emails (account notifications, password resets, job assignments);
- Detect, prevent, and address fraud or abuse;
- Comply with legal obligations.
3. AI Processing of Photos
Photos uploaded during an inspection are sent to Anthropic's Claude API for analysis against TREC Standards of Practice rules. The AI returns a finding which the inspector reviews and approves before it appears in the final report. Photos are not used by Anthropic to train its models. Video files are stored on our server and are not processed by AI.
4. Information Sharing
We share information with the following third parties only as necessary to provide the Service:
- Stripe — payment processing;
- Anthropic — AI photo analysis;
- Hosting and infrastructure providers — to operate the platform;
- Within your organization — your company admin, agency, and assigned inspector can view the inspection content for jobs they are involved in.
We do not sell your personal information. We do not share your information with advertisers.
5. Data Retention
Inspection photos, videos, and PDF reports are retained on our servers for thirty (30) days from the date the report is generated. After that period the files are permanently deleted from our systems. Database records (job details, findings text, account information) are retained for the life of the account or as required by law. Backup copies may be retained for up to seven (7) additional days.
6. Security
We use industry-standard safeguards to protect your information, including TLS encryption in transit, hashed passwords (bcrypt), and access controls on our database and servers. No system is perfectly secure, and we cannot guarantee absolute security of your information.
7. Your Rights and Choices
You can:
- Access and update your account information through your dashboard;
- Request deletion of your account by contacting us;
- Download copies of your inspection reports during the 30-day retention window;
- Opt out of non-transactional emails (transactional emails such as password resets cannot be opted out while you maintain an account).
8. Children's Privacy
The Service is not directed to individuals under eighteen (18) years of age, and we do not knowingly collect personal information from minors.
9. Cookies and Tracking
The Service uses essential cookies and browser local storage to keep you signed in and to remember your preferences. We do not use third-party advertising or behavioral tracking cookies.
10. Texas Residents
If you are a Texas resident, you have rights under the Texas Data Privacy and Security Act, including the right to access, correct, or delete personal information, and to opt out of certain uses. Contact us at the address below to exercise these rights.
11. International Users
The Service is operated in the United States and is intended for use by Texas-based home inspection businesses. By using the Service, you consent to the transfer and processing of your information in the United States.
12. Changes to This Policy
We may update this Privacy Policy from time to time. The latest version will be posted on this page with a new effective date.
